Our Club Constitution is as follows:
Purpose:
The Club exists to provide a location to play Miniature Wargames, board games, Role Playing Games and any other form of social games related activity.
Code of conduct
All Individuals attending the club will not discriminate or in any way treat anyone less favourably, on any grounds. These include all reasons listed under the 2010 Equality act and other legislation.
Membership:
For the purposes of this document a member is defined as someone who:
• Any individual is free to join the club.
• Members who wish to vote at Meetings. AGM’s and EGM’s must register contact details with the secretary.
• Contact details will be held for club business, and we will not give or sell them to any third party.
• Has been attending within the club within the last 3 months, and has previously paid club dues. Or paid a yearly membership.
• Is minimum age is 18. Under 18’s are allowed at the club if accompanied at all times by a legal Guardian who takes responsibility for the minor’s actions.
• A Yearly Membership runs for a calendar year. Yearly Memberships do not preclude you from paying weekly fees.
• Any Guests attending the club agree to abide by the code of conduct
This attendance requirement can be waived for members if they notify the club secretary of a leave of absence, and the expected period is not over 6 months
All members (as defined above) have voting rights at club meetings.
Management:
All Business of the club will be conducted at club meetings, by the attending members of the club forming a Committee in Whole. These meetings will be held on the first Monday of each month. Meetings will start at 1930, and will last as long as is needed.
The minimum number of attendees to hold these meetings is 8 Members, or 50% of Voting members
• Any issues will be decided by majority vote of Members present.
• Any Member can raise an issue if they wish at these meetings, or may ask any club officer to raise the issue on their behalf, and register their proxy vote.
• The meeting will be chaired by the either the Secretary, the Treasurer or if neither present by a nominated person.
• An AGM will be held at the September meeting, starting from 2013. For the purpose of selecting new Club officers, and any other business.
• An EGM can be called from a vote at a club meeting, as long as any members agree.
Club Officers:
The Club will have at minimum a secretary and a Treasurer.
Club meetings can create an Officer role as it sees fit.
The Landlords representative is considered to be a Club officer if present, or the club key holder whom unlocked the site.
Assets:
All Members have access to the club assets, either at the club or by prior arrangement with the club secretary. However, assets belong to the club, not the Members.
If the Club is wound up by:
• Inactivity for one year
• Insolvency of club bank accounts.
• A vote by 67% of the current membership.
Then the Club assets will be distributed equability between members present at a nominated date and time.
Cash surplus to requirements after paying the clubs debts will be donated to landlords unless voted by 75% of members attending the final meeting.
Accounts:
The Club accounts will be maintained by the Treasurer.
• The Club will maintain 6 months’ rent as a surplus.
• Money in excess of the required 6 months’ rent may be spent by vote at the next meeting. With the following restrictions of a limit of £150 pounds, and the Treasurer to be present.
• The Club may not vote to make the club insolvent, unless it is to wind up the club.
• The Treasurer is to notify the club if the available funds drop below the next periods current and foreseeable bills.
Records:
Members may leave whatever information they feel comfortable with the Club Secretary. This information is used for the purposes of contacting members should something unforeseen arise that they need to know about, for example the hall being unavailable on short notice.
In addition, the club secretary will:
• Maintain an E-mail address so that People may contact him with club enquiries.
• Maintain contact with the landlords
• Handle Advertising.
